Setting up your Tripleseat integration

How does the integration work?

The two-way integration automatically sends group folios and room blocks created in Tripleseat to WebRezPro. When reservations are booked into groups through WebRezPro, pick-up is automatically updated in Tripleseat. 

WebRezPro sends rate, inventory, and pick-up updates to Tripleseat, and Tripleseat sends group folio and allocation updates to WebRezPro.

The combined solution enables hoteliers to capitalize on Tripleseat’s advanced group sales and planning tools while benefiting from WebRezPro’s robust booking and reporting functions without having to manually duplicate information across the two systems.

WebRezPro System Requirements

  • The property must be using WebRezPro v10.5.28 or higher.
  • Only event group folios with an allocation by unit type are supported by the integration (group folios with an allocation by unit number or no allocation are not supported).
  • The integration supports a single rate plan set up as a 0% discount rate that derives its pricing from the rack rate.
  • The integration supports a single Tripleseat account connected to a single WebRezPro system. Properties using the Location Module can connect to Tripleseat but only on a whole-property level. Separate locations within a WebRezPro system cannot be connected to separate Tripleseat accounts.

Integration setup

You will need to complete some basic setup steps in both WebRezPro and Tripleseat before the integration can be enabled.

  1. Contact your WebRezPro account executive to order the integration.
  2. A WebRezPro support specialist will send you instructions for completing the required setup in your WebRezPro system. They will also ask you to provide them with your Tripleseat ID. WebRezPro setup requirements include:
    • All unit types in WebRezPro must have an abbreviation. 
    • A 0% discount rate called Tripleseat, with the abbreviation TSBAR, must be created and attached to all unit types mapped through the integration. 
    • All groups created with allocations in WebRezPro must also be created in Tripleseat (or vice versa).
    • The name of each group folio in WebRezPro must match the guest room block name in Tripleseat.
    • All group reservations booked in WebRezPro must be booked with the group rate.
  3. WebRezPro will complete the initial integration setup and testing with Tripleseat.
  4. Once testing has been completed, the integration will be enabled in WebRezPro, and WebRezPro will send a mapping file to Tripleseat that includes all current and future event group folios.
  5. Tripleseat will map all existing group folios and enable the group send function, which will allow group folios created in Tripleseat to be automatically sent to WebRezPro. 


Please note:
Once the integration install process has started, you should not create any new event groups in WebRezPro as these will not be included in the mapping file sent to Tripleseat and may result in duplicate groups being created in WebRezPro. 

New event groups can be created in Tripleseat during the integration install process. However, any new groups created in Tripleseat that are not already created in WebRezPro must be tracked so that they can be sent to WebRezPro once the integration has gone live. 

FAQ

All group folios with allocations by unit type must be created and updated in Tripleseat, not in WebRezPro. Room blocks (allocations) are also created and updated in Tripleseat.

Pricing is entered in Tripleseat, as part of the group setup. When the group folio is sent to WebRezPro, it will automatically create the allocation with pricing in WebRezPro.

Tripleseat will not send updates to WebRezPro after an allocation has been released. If you want to make changes to the group folio after the release date, you must first update the release date to a future date in Tripleseat. Group folios with an arrival date in the past cannot be updated through the integration, regardless of the release date of the allocation.

The integration supports a single rate plan. In WebRezPro, it should be set up as a 0% discount rate that derives its pricing from the rack rate. The rate plan must be named “Tripleseat,” and the abbreviation must match the rate plan code TSBAR. All unit types that are mapped through the integration must be attached to the rate.

Tripleseat sends new group folios and room blocks (allocations) to WebRezPro, as well as updates to group folios and room blocks. WebRezPro sends rate, inventory, and group pick-up updates to Tripleseat.

When a new group folio is created in Tripleseat, the group folio will be automatically created in WebRezPro if the group status in Tripleseat is set to definite or tentative. Groups with a status of prospect are not sent to WebRezPro until their status is updated to definite or tentative. Updates made to existing definite or tentative group folios in Tripleseat are immediately sent to WebRezPro. Whenever group reservations are created, modified, or canceled in WebRezPro, the group pick-up is immediately updated in Tripleseat.

WebRezPro sends rate and inventory updates to Tripleseat up to 730 days into the future. Your property must have rates and availability set up in WebRezPro in order for the updates to be sent to Tripleseat.

Yes. If you allow overbooking for any of your guest rooms in Tripleseat, be sure this is set up the same way in WebRezPro.

  • Yes, but you will need to inform both WebRezPro and Tripleseat before you make these changes as remapping may be required.
