WebRezPro v11.0.1 builds on the success of the v11.0.0, offering more features and further refinement. Notable changes include a streamlined Arrivals/Departures/Stayovers page, an updated reservation folio page, and new seasonal photos for unit types.

v11.0.1 Updates

  • Greater control over display options:
    • Select the reservation parameters you wish to display, then choose the default view: condensed or expanded.
    • Click the “Save” button to store your preferences in your user profile.
  • The new condensed reservation view provides users with a quick overview, ideal for managing a large volume of arrivals and departures. In this mode, you can easily access key information such as reservation status, confirmation number, guest name, VIP status, check-in/out dates, length of stay (LOS), number of guests, room type, room number, housekeeping status, guest agreement link, credit card status, and folio total—all at a glance.
  • New quick-access buttons have been added for check-in/out, editing reservation details, and modifying reservation parameters.

Version 11.0.1 introduces a revamped photo/slideshow section for unit types.

  • Effortlessly upload photos for each unit and reorder them with ease when multiple images are used.
  • Gain control over when your photos are displayed! The new seasonal photo utility is perfect for showcasing your property during different times of the year or for special occasions. You can:
    • Set specific start and stop display dates for your photos (based on the dates selected in an availability search).
    • Choose whether to display the image annually for the chosen start/stop dates or only for the specific dates selected.

Viewing & Editing Reservations

Version 11.0.1 of the Reservation page introduces several changes for both viewing and editing reservations.

Viewing reservations

  • A new “Summary” box highlights key details, including reservation status, length of stay (LOS), room type, rate type, and a financial overview.
  • New navigation tabs have been added for easy access to different sections of the reservation. By default, an “All” tab displays every section at once.
  • The updated folio section now presents reservation financials more clearly, making it easier to see outstanding balances and payments made.

Editing reservations

  • The improved “Reservation options” section simplifies the process of viewing and adding reservation options. Additionally, optional “stock” graphics can now be used instead of uploading custom images.
  • Properties can now choose whether to display booking terms and conditions directly on the page or in a pop-up modal, offering more flexibility in how this information is presented.

The most notable changes in v11 include a completely reimagined online booking engine, a more powerful interactive tape chart, and a streamlined guest check-in/check-out process.

  • New look
    • Modern design that’s more mobile friendly than ever.
    • Improved branding with prominent property logo display.
    • Ability to customize main accent color and background color/image. The accent color is applied to the page-top navigation, section headers, and the footer.

  • Integrated availability calendars
    • The booking engine features two types of availability calendars:
      1. Property availability calendar
      2. Room type availability calendar
    • The property availability calendar shows two weeks of availability and includes the number of available beds and max capacity for each unit type. A “full-screen” button allows the guest to enlarge the calendar.
    • Room calendars display two calendar months with the ability to advance to future months.
    • Both calendars show restrictions such as minimum length of stay, closed to arrival, and closed to departure.
  • On-the-fly room filters
    • Filters (capacity, beds, room amenities) can be applied to search results and will filter the results in real time.
    • Universal filters include items such as pets, air conditioning, etc.
    • Customizable amenity filters allow properties to promote special features e.g., City view, Ski in/out etc.
  • New “notices” box
    • Displays check-in/out times and custom messaging as input by the property, e.g., updates and alerts regarding pool closures, parking restrictions, etc.
  • Redesigned room results
    • Tabs allow users to choose from three display options:
      1. Room types (tile format)
      2. Calendar (pop-up window)
      3. Map
    • Each room-type tile contains:
      • Photo or slideshow. A pop-up box displays larger images.
      • Photos include overlay signals displaying how many units are left (creates urgency), wheelchair accessibility (if applicable), and pet-friendliness. 
      • Links to room calendar, large slideshow/image, and unit webpage (if available).
      • Icons representing amenities, room size (sq ft/mt), max occupancy, bed types, bathroom types, and custom amenities (text-based).
      • Default display of three available rates types, with the ability to display more rate types via “more” toggle button.
      • Rate types contain a pop-up description
      • Close-match rate results. These are suggested results that typically appear when available check-in/out dates (or number of nights) fall within a few days of the guest’s initial search parameters. They may also appear to help accommodate the number guests in a reservation.
    • Unavailable room types are displayed at the bottom of the screen, in an “Unavailable Rooms” section.
  • Streamlined booking form
    • Updated booking form designed to increase booking completions.
    • A booking summary in the top-left displays the most important reservation information (check-in/out dates; number of nights, rooms, and guests; room and rate type; and total booking cost) for quick reference and is always visible as the user scrolls down the booking form.
  • Enhanced reservation options
    • Ability to sell add-ons with photos in a pop-up modal within the booking form.
  • New online guest portal
    • Guests can sign in to view current, upcoming, past, and waitlisted reservations.
    • Completed guest agreements are also available.
  • Added mobile navigation
    • Links to important booking engine functions (availability calendar, filters, etc.) are displayed at the bottom of the screen on mobile devices.
  • Flexible booking engine integration
    • There are several options for linking to the booking engine:
      • Method 1 – display all unit types with a pop-up search window prompting the guest to select arrival/departure dates.
      • Method 2 – display all unit types with a button prompting the guest to search arrival/departure dates.
      • Method 3 – an availability search is immediately performed for the current date with a button allowing the guest to change arrival/departure dates.
      • Method 4 – automatically display the property availability calendar or a room type availability calendar.

    • The new, combined control panel makes processing reservations easier, allowing for complete control over reservation display.
    • View status of all check-ins/outs and stayovers for the day.
    • See all reservations at once or search, sort, and filter to find specific reservations.
    • Further filter arrivals, departures, and stayovers to show only due-in arrivals/checked-in arrivals, due-out departures/checked-out departures, checked-in stayovers/no-show stayovers.
    • Allows custom sort options.
    • Perform bulk actions to process multiple reservations more efficiently.
    • Choose your display preferences; see all reservation information or just the basics. 
    • Options to print PDF receipts and registration cards (check-in receipts).

Easier unit closeouts

  • New look and feel reduces clicks and makes it easier and faster to implement unit closeouts, especially on mobile devices.
  • One-click “select all” option for units and dates.
  • Changes are immediately active in the system (no need to save selections).
  • Website closeouts, maintenance closeouts, and booked rooms are also updated to the new look, with new entries now created in a pop-up modal.

  • Simplified tax setup: tax rates and recalculations are managed in Accounting > Admin > Taxes (tax rates are no longer entered in property settings), and tax changes can be set up for future dates.

Operational differences between v10 and v11

While the overall structure and layout of v11 is very similar to previous versions of WebRezPro, we would like to point out a few features that operate a bit differently in v11.

  • Items are now created through a separate menu instead of through the create/edit reservation option form.
  • All reservation options that are set to charge must be attached to a product/service.
  • Reservation options and items can be set as inactive.
  • Tax rates are only set in Accounting.
  • Taxes rates are no longer entered in Property Settings. You only have to link the tax type in Property Settings to the applicable tax in Accounting.
  • The way pricing is added to rates has changed.
  • You can now copy existing pricing and availability entries to new entries.
  • Past pricing entries (more than 6 months in the past) are hidden by default. They can be shown by clicking on Options > Show historical.
  • Negative credit card payments are no longer supported.
  • Credit card payments posted on the current date can be voided from the reservation.
  • Credit card payments posted on a past date cannot be voided from the reservation, even if reservation locking is turned off.
  • Other methods of payment posted on the current date can be voided from the reservation.
  • Other methods of payment posted on a past date cannot be voided from the reservation, even if reservation locking is turned off.
  • Credit card and other methods of payment dated in the past can be refunded by clicking on the R link next to the payment. Refunds will be automatically posted to the reservation as a negative payment.
  • Clerks with accounting access can edit/delete both credit card and other methods of payment from the accounting side of the system regardless of the posting date.
  • Standard and custom amenities can be added through Setup > Property Settings > Edit available unit amenities.
  • Standard and custom amenities can be set as room search filters.
  • Standard and custom amenities enabled in property settings can be attached to specific unit types.
  • The unit type edit page now includes a layout section where properties can configure the unit size in sq. ft. or sq. m., specify the number of beds and types (i.e., king, queen, bunk beds, etc.), and specify the number and type of bathrooms.

If a property wants to receive a copy of all confirmation emails sent to guests (for online bookings and manually sent confirmation emails), the confirmation email template must have Copy property on emails sent to guest set to ‘Yes.’ If this setting is enabled, copies will be sent to the property email address entered in property settings, and the reservation change log will reflect “Email sent to guest and hotel.”

  • The Reservations menu no longer has a ‘book by the hour’ option.
  • Hourly bookings can be edited directly from the Hourly Calendar, or opened and then edited from the Options menu.
