WebRezPro announcement

We’re excited to introduce v11, the latest software release of WebRezPro’s industry-leading hospitality property management system. Offering dozens of new features and software updates, v11 is designed to boost direct bookings and make running your property easier and more profitable. The most notable changes in v11 include a completely reimagined online booking engine, a more powerful interactive tape chart, and a streamlined guest check-in/check-out process.

New sign-in page

  • New look with added functionality
    • “System status” link displays any messages re: system functionality.
    • In the unlikely event that primary WebRezPro servers are not accessible, “Backup” allows clients to sign into a read-only version of WebRezPro via secondary servers.
    • “Sign-in help” offers troubleshooting tips.

Brand new booking engine

  • New look
    • Modern design that’s more mobile friendly than ever.
    • Improved branding with prominent property logo display.
    • Ability to customize main accent color and background color/image. The accent color is applied to the page-top navigation, section headers, and the footer.
    • Ability to add social media links to the footer.
  • Integrated availability calendars
    • The booking engine features two types of availability calendars:
      1. Property availability calendar
      2. Room type availability calendar
    • The property availability calendar shows two weeks of availability and includes the number of available beds and max capacity for each unit type. A “full-screen” button allows the guest to enlarge the calendar.
    • Room calendars display two calendar months with the ability to advance to future months.
    • Both calendars show restrictions such as minimum length of stay, closed to arrival, and closed to departure.
  • On-the-fly room filters
    • Filters (capacity, beds, room amenities) can be applied to search results and will filter the results in real time.
    • Universal filters include items such as pets, air conditioning, etc.
    • Customizable amenity filters allow properties to promote special features e.g., City view, Ski in/out etc.
  • New “notices” box
    • Displays check-in/out times and custom messaging as input by the property, e.g., updates and alerts regarding pool closures, parking restrictions, etc.
  • Redesigned room results
    • Tabs allow users to choose from three display options:
      1. Room types (tile format)
      2. Calendar (pop-up window)
      3. Map
    • Each room-type tile contains:
      • Photo or slideshow. A pop-up box displays larger images.
      • Photos include overlay signals displaying how many units are left (creates urgency), wheelchair accessibility (if applicable), and pet-friendliness. 
      • Links to room calendar, large slideshow/image, and unit webpage (if available).
      • Icons representing amenities, room size (sq ft/mt), max occupancy, bed types, bathroom types, and custom amenities (text-based).
      • Default display of three available rates types, with the ability to display more rate types via “more” toggle button.
      • Rate types contain a pop-up description
      • Close-match rate results. These are suggested results that typically appear when available check-in/out dates (or number of nights) fall within a few days of the guest’s initial search parameters. They may also appear to help accommodate the number guests in a reservation.
    • Unavailable room types are displayed at the bottom of the screen, in an “Unavailable Rooms” section.
  • Streamlined booking form
    • Updated booking form designed to increase booking completions.
    • A booking summary in the top-left displays the most important reservation information (check-in/out dates; number of nights, rooms, and guests; room and rate type; and total booking cost) for quick reference and is always visible as the user scrolls down the booking form.
  • Enhanced reservation options
    • Ability to sell add-ons with photos in a pop-up modal within the booking form.
  • New online guest portal
    • Guests can sign in to view current, upcoming, past, and waitlisted reservations.
    • Completed guest agreements are also available.
  • Added mobile navigation
    • Links to important booking engine functions (availability calendar, filters, etc.) are displayed at the bottom of the screen on mobile devices.
  • Flexible booking engine integration
    • There are several options for linking to the booking engine:
      • Method 1 – display all unit types with a pop-up search window prompting the guest to select arrival/departure dates.
      • Method 2 – display all unit types with a button prompting the guest to search arrival/departure dates.
      • Method 3 – an availability search is immediately performed for the current date with a button allowing the guest to change arrival/departure dates.
      • Method 4 – automatically display the property availability calendar or a room type availability calendar.

Faster check-ins/outs

  • New control panel (Arr/Dep/Stay)
    • The new, combined control panel makes processing reservations easier, allowing for complete control over reservation display.
    • View status of all check-ins/outs and stayovers for the day.
    • See all reservations at once or search, sort, and filter to find specific reservations.
    • Further filter arrivals, departures, and stayovers to show only due-in arrivals/checked-in arrivals, due-out departures/checked-out departures, checked-in stayovers/no-show stayovers.
    • Allows custom sort options.
    • Perform bulk actions to process multiple reservations more efficiently.
    • Choose your display preferences; see all reservation information or just the basics. 
    • Options to print PDF receipts and registration cards (check-in receipts).
  • Improved reservation display
    • New tile format shows all reservation information or can be customized.
    • Ability to check a guest in, take payment, and add credit cards on file directly from the Arr/Dep/stay screen within a pop-up modal.
    • Check a guest out, change reservation, edit reservation, print registration card, and send email (from an Options menu).
    • See folio totals and credit card status.

  • New look and navigation items
    • Modern, responsive design.
    • Additional shortcut icons, including ‘property settings,’ ‘affiliate properties,’ ‘booking engine settings,’ ‘reservation options,’ and ’email templates.’
    • Calendar shortcut button features drop-down selection between room and rate availability calendars.
    • Left navigation menu now operates in accordion style (opening a new menu item automatically closes the previously opened menu item).
    • Support and user manual links have moved to the footer.
    • Addition of “reservation locking” status icon in bottom-right corner.
  • More data at a glance
    • Updated statistics at a glance with links to relevant reports in the system.
    • In addition to an occupancy bar chart and line charts for RevPAR and ADR, the dashboard shows:
      • Total available rooms for the day.
      • Total arrivals and departures, along with the number of completed and pending check-ins/outs.
      • Housekeeping summary.
      • Occupancy rate for the day.
      • The number of  adults and children in-house.
      • A new “top sources” tile shows the top two reservation sources for the day.
Easier reservation management

Rebuilt Tape Chart

  • New look and feel.
  • Date range picker gives you quick control over visible dates
  • Create reservations directly from the tape chart.
  • Drag-and-drop room moves and reservation extensions.
  • Ability to view, edit, and change reservations (via reservation pop-up).
  • Ability to complete guest check-in/out (via reservation pop-up).
  • Unit number, type, status, and occupancy columns freeze to the left of the screen (always visible) as the user scrolls through dates.
  • New “jump to yesterday” and “jump to today” shortcut buttons.
  • A refresh button pops up when there’s new information for the dates being viewed.
  • Options to view condensed tape chart (fits more dates on screen) and hide unassigned reservations.

Improved rate table

  • New design highlights day-of-week rate availability.
  • Pricing and restrictions are updated in pop-up modals, reducing clicks.
  • Easier to see gaps in rate availability.
  • Historical records (ending more than 6 months in the past) are hidden automatically but can be revealed using the ‘show historical rates’ option.
  • Ability to copy availability entries.
  • Ability to copy pricing entries within an availability entry.
  • CTA/CTD restrictions are now shape- and color-coded.
Instant updates

Easier unit closeouts

  • New look and feel reduces clicks and makes it easier and faster to implement unit closeouts, especially on mobile devices.
  • One-click “select all” option for units and dates.
  • Changes are immediately active in the system (no need to save selections).
  • Website closeouts, maintenance closeouts, and booked rooms are also updated to the new look, with new entries now created in a pop-up modal.

Improved guest agreements

  • Updated guest agreement setup/edit form design.
  • Request/require guests to provide permission for credit card usage (e.g., deposit payment, cancellation fees, remainder of reservation cost, future incidentals).
  • The completed guest agreement features a new look.
  • Ability for guests to view their completed agreement in the new online guest portal.

  • Updated property settings now includes an “available unit amenities” section that allows properties to create custom amenities, which will be available for selection in unit type setup and search filters.

  • Reservation option setup has been updated to the new look, and reservation options and reservation option items can now be set to inactive. 
  • The trial balance now displays debits/credits for the current date, month to date, and year to date.
  • Simplified tax setup: tax rates and recalculations are managed in Accounting > Admin > Taxes (tax rates are no longer entered in property settings), and tax changes can be set up for future dates.
  • Updated owner payout module forms (unit owner create / edit form and payout statement create / edit form).
